Position: Purchasing Assistant

Job Description – Purchasing Assistant

Responsible to provide administrative support through various  duties, such as preparation of reports, clerical duties, calendar management, email/phone/written correspondences, keeping meeting minutes, expense reporting, and meeting planning.

    Essential Functions/Key Job Responsibilities:

    • Performs complex and confidential administrative functions including; developing and preparing proposals, reports, and correspondence.
    • Create and maintain database and spreadsheet files.
    • Assist with purchasing and accounting clerical functions such as: coding invoices, getting approval and submitting to accounting.

    Assist in ordering, maintaining levels, and expediting material

    Technical Skills 

    • Proficient knowledge (intermediate level or higher) of MS Excel, MS Word, MS Power Point and MS Outlook and database applications.
    • Knowledge of office management systems and procedures such as filing and record keeping
    • Excellent verbal and written communication skills

    Behavioral Skills:


    • Ability to organize and prioritize tasks and handle multi-projects.
    • Ability to interact with individuals at all organizational levels.
    • Demonstrate a motivation to provide fast, accurate and complete customer service at all times to all employees and management.
    • Excellent customer service skills.
    • Ability to multi-task and handle varying tasks simultaneously to meet deadlines.
    • Ability to maintain confidentiality and handle sensitive material.

    Supervisory Responsibilities: 

    • None



    • High school or GED


    • 3 – 5 years office work related experience required

    Physical Requirements:


    • Ability to sit for prolonged periods of time.
    • Ability to type on a keyboard.
    • Ability to converse over a telephone.
    • Ability to work in office and perform in corporate environment. 

    Work Environment: 

    • Open office environment
